Job Description
We are seeking a professional and motivated Appointment Setter to support our Canadian clients operating in the Pacific Standard Time (PST) zone. This role is perfect for individuals with a refined English accent, strong communication skills, and prior experience in dental calling, healthcare outbound calls, or US-based calling processes.
You will play a key role in speaking with inbound and outbound leads from our marketing campaigns, qualifying their needs, and booking appointments for our client teams. Your work directly impacts conversion rates, patient show-up rates, and overall client satisfaction.
Key ResponsibilitiesLead Engagement and Follow-up
• Respond to all leads promptly (within 30 minutes during office hours: 9 am to 7:30 pm PST).
• For after-hours inquiries, ensure responses are sent within 12 hours.
• Conduct outbound calls to prospective patients or service inquiries generated through ads, web forms, SMS, or referral campaigns.
• Send personalized follow-up emails/text messages based on the lead’s needs, concerns, and service interests.
Call Handling and Qualification
• Speak confidently with individuals to understand their requirements, concerns, and decision-making intent.
• If in dental campaigns, determine the inquiry type (cleaning, emergency, Invisalign, implants, new patient consult, etc.) and qualify basic details.
• Ask discovery questions to understand expectations and build trust quickly.
• Present available appointment options and secure confirmed time slots.
Appointment Booking and Coordination
• Schedule and reconfirm appointments in the CRM (training provided).
• Validate and update correct contact details for both the lead and the assigned practitioner or sales rep.
• Ensure leads move seamlessly through the funnel and hand-offs to local offices or client teams are smooth and clear.
Documentation and CRM Management
• Maintain accurate notes, call logs, and appointment outcomes.
• Track follow-ups, reschedules, cancellations, and no-shows.
• Ensure consistent communication and collaboration with the internal and client-side teams.
RequirementsSkills and Experience
• Refined, neutral English accent with excellent clarity and diction.
• Previous experience in dental calling, healthcare appointment booking, or US outbound calling is strongly preferred.
• Strong verbal and written communication skills.
• Ability to build rapport quickly over the phone.
• Sales-driven mindset with confidence in handling objections and guiding conversations.
• Self-motivated, organized, and committed to meeting performance targets.
• Experience with CRM tools is an asset (training will be provided).
• Empathy, patience, and professionalism when dealing with client inquiries.
Work Hours
• Must be able to operate exclusively in PST time zone to match client schedules.
