About the Role
As a Scheduling Operations Associate, you will play a vital role in ensuring uninterrupted patient care by managing caregiver schedules and handling real-time staffing needs. You’ll work closely with caregivers, clients, and internal teams to resolve last-minute changes, attendance issues, and scheduling conflicts.
This role requires comfort with technology, strong organizational skills, and a calm, solutions-focused mindset. You’ll be working across multiple systems while communicating clearly and professionally with a variety of stakeholders.
Shift Availability
We are hiring multiple part-time contract associates with availability during the following hours (Eastern Time):
- Monday–Friday:
- 6:00 AM – 4:00 PM
- 4:00 PM – 2:30 AM
- Saturday–Sunday:
- 6:00 AM – 2:30 AM (6–8 hour shifts)
Priority availability:
- 4:00 PM – 8:00 PM (Mon–Fri)
- 5:00 PM – 2:00 AM (Mon–Fri)
- Weekend availability (Saturday & Sunday)
What You’ll Do
- Coordinate with clients, caregivers, and patients to resolve staffing and scheduling issues
- Handle last-minute coverage needs due to call-outs, no-shows, or lateness
- Assign clients to appropriate caregivers using internal systems
- Track and manage cases using Zendesk
- Communicate schedule updates and changes clearly and promptly
- Work across multiple technology platforms (Google Workspace and proprietary tools)
- Ensure accurate documentation and proper handling of Patient Health Information (PHI)
What We’re Looking For
- Customer service experience with a friendly, positive, and solutions-oriented approach
- Strong organizational skills and attention to detail
- Ability to work efficiently across multiple software systems at the same time
- Proactive problem-solver who can handle time-sensitive and challenging situations
- Clear, professional communication skills
- Previous experience in healthcare scheduling or frontline scheduling roles is a plus
- 1–2 years of experience in customer service, hospitality, or retail preferred
- Spanish fluency is a plus
