About the Role:
We are looking for a highly organized and detail-oriented Record Keeper to manage and maintain accurate records for our organization. In this role, you will be responsible for creating, updating, retrieving, and archiving various types of documents and data in both physical and digital formats. This position is critical to supporting smooth daily operations and ensuring compliance with data integrity and confidentiality policies.

This role is ideal for someone who enjoys administrative tasks, values precision, and is comfortable working with both paper-based and electronic filing systems.

Key Responsibilities:

  • Organize, file, and maintain company records, both digital and physical
  • Retrieve data and documents as requested by management or departments
  • Ensure records are stored securely and are accessible when needed
  • Maintain databases, logs, and archives for inventory, personnel, accounting, or legal documents
  • Perform data entry and verify the accuracy of records and documents
  • Assist with document scanning, shredding, or destruction in compliance with company policies
  • Track record retention schedules and ensure outdated records are handled appropriately
  • Maintain confidentiality and comply with data protection regulations (e.g., GDPR, HIPAA, depending on industry)

Required Qualifications:

  • High school diploma or equivalent; diploma or certificate in office administration is a plus
  • 0–3 years of experience in clerical, administrative, or recordkeeping roles
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) or Google Workspace
  • Basic computer literacy and comfort with electronic filing systems
  • Excellent attention to detail and strong organizational skills
  • Ability to handle sensitive or confidential information with discretion

Preferred Qualifications:

  • Familiarity with document management software (e.g., SharePoint, DocuWare, Zoho WorkDrive)
  • Typing speed of 35+ WPM
  • Experience in industries such as healthcare, legal, education, or government is a plus
  • Strong communication and time-management skills
