Role Overview
We are seeking a Part-Time Bookkeeper who will fully own our day-to-day accounting execution. This role goes beyond traditional bookkeeping—you will be responsible for ensuring that closed deals flow seamlessly into invoicing, collections, reconciliation, and reporting, with clear visibility for Sales and Client Success teams.
You will play a critical role in keeping our delivery teams running smoothly and our leadership team informed with accurate, timely financial data.

Key Responsibilities
1. Deal Flow Ownership & Client Invoicing
- Own the accounting workflow for all deals once they are marked Closed Won
- Capture and validate billing details in HubSpot, including:
- Correct billing contacts and invoice recipients
- Payment terms (Due on Receipt, Net 15, Net 30)
- Payment schedules and split invoices
- Retainer vs. project-based billing
- Create accurate invoices in QuickBooks Online
- Review invoices with the salesperson prior to sending
- Ensure invoices are sent correctly and tracked consistently
2. Accounts Receivable & Collections Visibility
- Own collections and follow up on outstanding invoices
- Maintain real-time visibility into invoice and payment status by:
- Updating HubSpot deal records
- Posting updates in designated Slack channels
- Proactively flag risks related to delayed payments
- Help ensure collections issues do not disrupt service delivery
3. Accounts Payable
- Process vendor bills, subscriptions, and reimbursements
- Manage payment timing and vendor records
- Ensure accurate expense categorization in QuickBooks Online
4. Bookkeeping, Reconciliations & Month-End Close
- Maintain clean, accurate books in QuickBooks Online
- Reconcile bank and credit card accounts
- Ensure transactions align with the correct chart of accounts
- Own month-end close in partnership with the COO and CEO, including preparation of:
- Profit & Loss Statements
- Balance Sheet
- Statement of Cash Flows
- Provide basic trend and variance reporting
5. CPA Coordination
- Serve as the primary point of contact with the outsourced CPA firm
- Support annual tax preparation and compliance requests
- Maintain audit-ready financial records year-round
Qualifications
- Proven experience as a Bookkeeper, preferably in a professional services or agency environment
- Strong, hands-on experience with QuickBooks Online (required)
- Experience with:
- Client invoicing
- Accounts Receivable & Accounts Payable
- Reconciliations
- Month-end close
- Comfortable working across multiple systems (CRM, accounting, communication tools)
- Exceptional attention to detail and ability to work independently
- Clear, proactive communicator with non-finance stakeholders
Schedule & Compensation
- Approximately 15 hours per week
- Monday through Friday
- Flexible start/end times with a consistent schedule to be determined
- Hourly Rate: $35–$45/hour, depending on experience
